Recording daily care evidence

Turn completed husbandry work and observed animal conditions into consistent, timestamped evidence. Care records support schedules, reports, growth, CareSignal, Daily Command, Guided Rounds, and later review.

Before you begin

  • The correct animal or Housing record is selected.
  • The action has actually occurred or the observation was actually made.
  • You know whether the entry is individual, bulk, scheduled, or part of a Guided Round.
  • Any health or environmental reading includes the correct unit and context.

These annotated interface maps describe the current PMA controls. They do not replace a real record review in your workspace.

1Choose the care action
Look for: Feed, Water, Clean, Shed, Waste, Health, Measurement, or Environment

Select the action that matches the evidence instead of placing several unrelated observations into one generic note.

2Record outcome and context
Look for: Result, quantity, method, reading, notes, and attachments

Use the structured controls first, then add concise notes for details the fields do not represent.

3Confirm the subject and time
Look for: Animal, Housing, performed time, and acting user

Review these values before saving so the permanent timeline reflects the correct subject and date.

Step-by-step workflow

Select the correct subject

Open the animal, Housing, bulk-care screen, or Guided Round step that the work belongs to.

Choose the specific care type

Use structured actions such as feeding, water top-up or replacement, spot or full cleaning, complete or partial shed, and defecate, urate, or both.

Record the actual result

For feeding, distinguish offered, accepted, refused, or other supported outcomes. For measurements and environment, include the correct unit and measurement point.

Attach supporting evidence when useful

Add health images, notes, or other permitted evidence when they help another person understand what was observed.

Confirm date, time, and performer

Preserve historical dates for back-entered records. Do not replace the original event date with today merely because entry is happening now.

Save once and verify

Wait for confirmation, then review the timeline or round step. Avoid repeated clicks that could create duplicate evidence.

Void rather than erase a wrong record

Use PMA’s correction or void workflow when available so the original entry remains visible with its correction context.

Expected result

The animal or Housing timeline shows a structured record with the correct action, outcome, time, performer, and evidence. Schedules and intelligence features can use it without losing the original observation.

Safety boundaries

  • Never record care as completed before it occurs.
  • Do not use PMA to diagnose an animal.
  • Do not copy one observation across animals unless each subject was actually checked.
  • A warning, alert, or overdue state is not proof of illness or neglect.
  • Backdated records must preserve the real event date and acting-user evidence.

Troubleshooting

The action is not available

Confirm the species profile, permissions, and active action libraries. Use notes only when no structured action can accurately represent the work.

The record appears twice

Do not delete evidence directly. Review whether both entries are valid, then void the accidental duplicate with a reason.

The schedule did not advance

Confirm the saved outcome qualifies for the schedule and that the animal has a valid default interval. A refused meal may intentionally behave differently from an accepted feeding.

A historical date changed

Review timezone and regional settings, then confirm the event timestamp rather than the import or save timestamp.
