PMA Round Intelligence & Scheduling

Round Intelligence turns reusable Guided Round templates into scheduled, assigned, explainable operational work. It helps a collection owner understand what is due, who is covering it, why a proposed recheck exists, whether workload is realistic, and which recorded patterns deserve a human decision.

What PMA will and will not do

PMA can calculate schedules, forecasts, ranked routes, and reviewable proposals from recorded evidence. It does not autonomously start a Round, diagnose an animal, transfer responsibility without approval, or mark care complete without a user-confirmed Guided Round action.

Before you begin

Create at least one active Guided Round template.
Confirm active animals have accurate Housing assignments if physical route order matters.
Invite team members and verify their workspace roles before assigning coverage.
Publish any Adaptive Data Traits you want linked through the Action Library.
Remain online when changing schedules, approving proposals, or changing Action Library configuration.

Permissions

Role	Typical access
Owner / Administrator	All schedule, review, assignment, insight, and Action Library controls.
Manager	Create and manage schedules, assignments, generated proposals, and review decisions. Action Library changes remain owner/administrator only.
Keeper	View assigned Rounds and perform approved Guided Round work. Cannot approve generated proposals or change governed configuration.
Viewer	Read-only visibility where permitted; cannot perform or assign operational work.

1. Create a recurring Round schedule

Open Round Intelligence → Today’s Rounds.
Select New schedule.
Choose an active Guided Round template and enter a clear schedule name.
Select daily, weekdays, selected weekdays, interval days, or one-time scheduling.
Choose the local time and confirm the timezone.
Assign a primary keeper and, when useful, a different backup keeper.
Review expected duration, route mode, priority, and escalation window.
Save the schedule, then generate upcoming occurrences for the selected horizon.

Expected result: Each eligible date produces one duplicate-safe occurrence. Re-running generation does not create a second occurrence for the same schedule and due time.

2. Work from Today’s Rounds

Review overdue, due-today, upcoming, in-progress, and completed groups.
Open an occurrence and confirm its template, due time, expected minutes, and coverage.
Assign or revise primary and backup coverage before work starts.
Start the linked Guided Round. PMA preserves its authoritative per-animal actions and Capture checkpoints.
Complete, skip, block, or request follow-up at each stop using the Guided Round controls.

Expected result: The occurrence links to one Guided Round run. Status and exception counts synchronize from the authoritative run instead of being manually claimed.

3. Review evidence-generated work

Open Review Center.
Generate exception proposals after completed Guided Rounds, or generate condition proposals from eligible CareSignal, BioShield, and quarantine evidence.
Read Why this proposal and verify each supporting record.
Read Why this route and confirm the ranked animal stops still make operational sense.
Choose a due time and coverage, then add a review note.
Approve and schedule, or reject the proposal. Rejection closes the proposal without claiming the underlying concern was resolved.

Expected result: Approved work becomes a focused scheduled occurrence. Pending proposals remain inert until an authorized manager explicitly reviews them.

4. Interpret Insights & Capacity

The 14-day forecast uses recorded expected minutes and a visible six-productive-hour assumption per eligible keeper.
Overdue work is carried into today so it cannot disappear from the forecast.
Unassigned minutes remain visible and can produce blocked or attention states.
Completion, on-time, exception, and actual-duration measures come from recorded occurrences and runs.
Confidence is developing, moderate, or strong according to available samples.
Recommendations explain their evidence and never change a template automatically.

Expected result: Use the forecast as planning evidence, not a guarantee. Confirm staffing, animal needs, travel time, and exceptional care requirements before changing workload.

5. Configure the Guided Round Action Library

Open Action Library. Owner or administrator permission is required to save changes.
Review each of the 13 validated action engines and its PMA Capture engine.
Add workspace guidance describing how your team should perform and document the action.
Set its display order and decide whether it is available to newly saved templates.
Link only active Adaptive Data Traits from the approved husbandry, health, or breeding record family.
Save the action, or reset it to the PMA system default.

Expected result: Disabled actions remain in historical runs but cannot be added to newly saved templates. Trait links document structured fields without bypassing PMA Capture validation.

Troubleshooting

A schedule does not create occurrences

Confirm the schedule is active, its start/end dates include the generation horizon, the timezone is valid, and its template is still active. Running generation twice is intentionally duplicate-safe.

I cannot approve a proposal

Approval requires owner, administrator, or manager permission, an active target scope, a valid current/future due time, and distinct primary/backup keepers.

A condition record did not create a proposal

Resolved, expected, incorrect, currently snoozed, fictional, closed, normal quarantine, or duplicate evidence is intentionally excluded.

An Action Library trait is missing

Publish the Data Trait in Adaptive Data Studio and confirm its record type matches the action’s approved husbandry, health, or breeding family.

The app says reconnect

Schedule, assignment, proposal review, and Action Library changes require cloud validation. Reconnect, refresh, and retry; do not repeatedly submit while the first request is unresolved.
